Planning a wedding, a family airport run or a big night out, and weighing up minibus hire with driver against self-drive minibus hire? On paper, self-drive often looks cheaper. In practice, the licence rules, insurance excess, fuel, parking and the simple fact that someone has to stay sober can change the picture quickly. We run 8-seater and 12-seater minibuses with professional drivers across Camberley and Surrey Heath, so here is an honest side-by-side comparison to help your group choose the right option.
Quick answer: Minibus hire with driver suits most groups. You get one fixed price, a professional driver and door-to-door pickups, and nobody has to stay sober or hunt for parking. Self-drive minibus hire can work out cheaper for multi-day trips where you need the vehicle on hand the whole time, but check the licence first. A standard car licence covers vehicles with up to 8 passenger seats. For a minibus with 9 to 16 passenger seats, you normally need D1 entitlement, which people who passed their car test before 1 January 1997 usually already have.
Licence information checked against GOV.UK guidance in October 2026. Always check your own licence before hiring.

The Licence Rules for Self-Drive Minibus Hire
This is where many group plans come unstuck, so it is worth getting right before you pay a deposit.
Up to 8 passenger seats: a normal car licence is fine
A full car licence (category B) lets you drive vehicles up to 3,500kg with up to 8 passenger seats. A typical “9-seater” people carrier, meaning eight passengers plus the driver, can be driven on a normal car licence.
9 to 16 passenger seats: you normally need D1
A minibus with between 9 and 16 passenger seats, such as a 12-seater or 16-seater, normally requires category D1 on your licence. How you get that depends on when you passed your car test:
- Passed before 1 January 1997: your licence usually includes D1 with a “not for hire or reward” restriction. This lets you drive a minibus as long as you are not being paid to drive it, which covers most private group trips.
- Passed on or after 1 January 1997: you only have category B. You can drive a 9- to16-seatt minibus on it only if all of GOV. UK’s conditions are met.UK’s conditions are met. You must be 21 or over, have held your licence for at least two years, drive voluntarily for a non-commercial body using the minibus for social purposes, not tow a trailer, and keep the vehicle within the weight limit.
That non-commercial condition is the catch. A family or group of friends hiring a 12-seater for a weekend is unlikely to count as a non-commercial body, so in practice someone in the group usually needs D1 entitlement. The full rules are on GOV. UK’sUK’s driving a minibus page, and you can check which categories are on your licence online. Hire firms may also set their own minimum age and experience rules on top of the law.
None of this applies when you book a minibus with a driver. The licence, the insurance and the driving are our responsibility, not yours.
The Hidden Costs of Self-Drive Minibus Hire
The daily rate is rarely the whole story. Before you compare quotes, add up the extras:
- Insurance excess and deposit. A scrape in a tight car park can cost far more than the hire itself.
- Fuel. Larger vehicles use more of it, and you usually have to return the minibus refuelled.
- Mileage limits. Some hires cap the miles you can do before extra charges apply.
- Parking and height limits. Taller minibuses may not fit under the height barriers at some multi-storey car parks, and you pay for parking wherever you stop.
- Airport charges. Dropping your group at the terminal costs £7 at Heathrow and from £10 at Gatwick. See our guides to the Heathrow drop-off charge and the Gatwick drop-off charge.
- The sober driver. At a wedding or celebration, one person misses out. UK drink-drive limits apply the morning after too.
- Collection and return. Someone has to pick the vehicle up from the depot and drop it back within opening hours.
When Minibus Hire With Driver Makes Most Sense
Weddings and celebrations
A driven minibus keeps guests together, gets everyone to the ceremony on time and brings them home safely after the reception. Our guide to wedding guest transport covers timings and return trips in detail.
Airport transfers for families and groups
With several large suitcases, a minibus avoids splitting the group across two cars. We track your flight on return journeys and handle the airport drop-off rules for you. See our airport taxi service for Heathrow, Gatwick, Luton, Stansted and Southampton.
Nights out, race days and sporting events
Whether it is a birthday in town, a day at the races or a match, a driver means everyone can enjoy themselves, and nobody has to worry about getting home.
Business events and team days
For conferences, client visits and team days out, one booking moves everyone together and gives you a single fixed cost. Our guide to corporate taxi billing and booking explains how business accounts work.
When self-drive is the better choice
Self-drive makes sense for multi-day touring trips where you need the vehicle on hand all the time, your plans are flexible, and someone with the right licence is genuinely happy to do all the driving.
8-Seater or 12-Seater Minibus: Which Do You Need?
Count luggage as well as people. A group that fits comfortably on a night out may need a bigger vehicle with airport suitcases.
| Your group | Luggage | What we usually suggest |
|---|---|---|
| Up to 4 passengers | Normal bags | Saloon or MPV |
| 5 to 8 passengers | Light, such as an evening out or day trip | 8-seater minibus |
| 5 to 8 passengers | A large suitcase each | Ask us whether the 12-seater gives you more room for bags |
| 9 to 12 passengers | Any | 12-seater minibus |
| More than 12 passengers | Any | Two vehicles, such as a 12-seater plus an 8-seater |
See the full range on our fleet page, or read our luggage capacity guide before an airport trip.
How Much Does Minibus Hire With Driver Cost?
There is no one-size price, because the cost depends on the job:
- The journey. How far you are going and the route.
- The vehicle. An 8-seater or a 12-seater.
- Pickups and drop-offs. Collecting guests from several addresses takes longer than a single pickup.
- Waiting and returns. Whether you need a one-way trip, a return later in the day, or a driver who stays with you.
Tell us your plans, and you will get a fixed price before you confirm, with no hidden charges added at the end. Once you add fuel, parking, insurance excess and a sober driver to a self-drive quote, a driven minibus often compares better than expected, especially for one-day events.

FAQs
Can I drive a minibus on a car licence?
A standard car licence covers vehicles with up to 8 passenger seats. For 9 to 16 passenger seats you normally need D1 entitlement, unless you meet all of GOV. UK’s conditions for driving voluntarily for a non-commercial body.UK’s conditions for driving voluntarily for a non-commercial body.
What licence do I need to self-drive a 12-seater minibus?
Normally category D1. Drivers who passed their car test before 1 January 1997 usually have D1 (not for hire or reward) on their licence already. You can check your categories online on GOV.UK.
Is minibus hire with driver more expensive than self-drive?
